- Information Collected
- Dancefit Royston collects Personal Information from you from time to time including through class enquiries, initial registration and/or updates.
- “Personal Information” is any information that enables you (or in the case of any emergency contact information given, that third party) to be identified, either directly or indirectly and includes any Sensitive Information.
- “Sensitive Information” may include information about your health which is provided on initial registration and/or an ongoing basis.
- Use of Information
2.1 Dancefit Royston uses Personal Information in order to fulfil its legitimate interests and to comply with contractual and/or legal obligations including but not limited to providing the fitness classes, safeguarding participants, administering subscriptions, communicating class announcements and monitoring class attendance. Where consent has been given to receiving “Class Communications”:
2.1.1 if you are a current block subscriber, have attended on a pay-as-you-go basis or have enquired during the current or previous teaching block (6 teaching weeks or such period as determined by Dancefit Royston), Dancefit Royston may use your email address and/or your contact numbers to provide you with information about classes including but not limited to pricing and relevant announcements (such as schedule changes, cancellations, parking issues) up to the end of the following block. All emails will contain a privacy statement reminding you of your right to opt out of further Class Communications at any time by emailing firstname.lastname@example.org.
2.1.2 if you are not a block subscriber and do not attend any classes during a full block on a pay-as-you go basis, Dancefit Royston will remove your Personal Information from the active database/contact list unless you request to be contacted and provided with such Class Communications. Such requests should be made to email@example.com.
2.2 Your Personal Information is used solely by Dancefit Royston and will not be shared with any third parties unless there is a legal or regulatory reason for doing so.
- Storage of Information
3.1 Dancefit Royston has put in place reasonable and appropriate security measures to prevent your Personal Information from being lost, used or accessed in an unauthorised way. For example: digital access to your Personal Information is limited to Rachel Crick and is protected with passwords; and physical copies of PARQ’s are securely stored.
3.2 Dancefit Royston will inform you promptly in the event that it becomes aware that a breach or suspected breach of your Personal Information has been made.
3.3 Your data will be stored for as long as is necessary to comply with legal and regulatory obligations (including tax/accounting obligations) after which time Dancefit Royston will delete and/or destroy your Personal Information securely.
- Your Rights
4.1 Without prejudice to any other rights conveyed upon you by applicable data protection laws, including the EU General Data Protection Regulation (“GDPR”), you have the right to:
4.1.1 Request details or copies of the Personal Information Dancefit Royston holds about you;
4.1.2 Request to have your Personal Information corrected if it is inaccurate and completed if it is incomplete;
4.1.3 Opt out of Class Communications from Dancefit Royston at any time by emailing firstname.lastname@example.org and/or change your contact preferences; and
4.1.4 Subject to any legal or regulatory obligations under clause 3.3, request your Personal Information be deleted and/or destroyed.

5.2 Whilst it is hoped that Dancefit Royston can resolve any issues relating to Dancefit Royston’s handling of your Personal Information, in the event that Dancefit Royston is unable to do so, you have the right to lodge a complaint with the UK’s data protection regulator, the ICO, who can be contacted through their website at https://ico.org.uk/global/contact-us/ or by writing to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
